01Agreement and enquiries
These terms govern use of the RosterField public website and app, operated under ABN 43 879 594 646. By registering or using the app, you agree to them; if acting for an organisation, you must have authority to do so. Submitting a demo or contact enquiry alone does not start a subscription. Product information is general, not a promise that every workbook or scheduling workflow will work without setup.
02Accounts and responsibilities
Provide accurate account and company details, protect your credentials and notify us of suspected misuse. The app distinguishes company-wide and project-assigned administrators. You are responsible for inviting appropriate users, assigning projects, safeguarding project links and ensuring your use of roster data is authorised. Do not share account credentials.
03Import and review
The service accepts supported CSV and XLSX rosters and offers detection and mapping for horizontal matrices, transposed matrices and shift lists. Matrix records may use physical source-position identifiers where employee numbers are absent; shift lists require employee identifiers. Personnel are scoped to each upload, not automatically reconciled across files. The service checks some structural, date and status issues but does not verify real-world shifts, employment, payroll or legal compliance, calculate workbook formulas, or guarantee interpretation of every workbook. Check the worksheet, mapping, people and statuses against the approved source.
04Status preservation and corrections
Unfamiliar non-empty daily labels default to cleaned source text and require confirmation; a blank status mapping keeps that text rather than deleting it. Known aliases may be normalised. Time-only values or labels exceeding supported length need correction. You are responsible for the meaning and suitability of retained or replacement labels. Literal source-cell corrections affect the reviewed draft, not the original stored file. Use an intentionally blank cell correction or a corrected source file to remove a proposed value, and address stored originals separately where deletion is required.
05Preview limits and publication decisions
The publication table shows a bounded sample of the first 100 normalised entries, 10 per page, not every entry in a large import. Review total counts, exclusions, date boundaries and source records as well. A selected window is limited to 140 inclusive days; explicit historical periods may be selected. Review edits require a refreshed preview before publication. A cleared action list or enabled Publish button is not operational approval or a guarantee of completeness.
06Optional mapping assistance
AI mapping assistance is disabled by default and unavailable in the public demo. When enabled in a signed-in deployment, a bounded, locally anonymised structural worksheet sample is sent to OpenAI as described in the Privacy Policy. Suggestions may be incomplete or incorrect. Administrators remain responsible for verifying fields, dates, statuses and the final publication; assistance does not approve a roster or alter your source workbook.
07Public demo
The separate public demo uses the real import and review parser with a fictional sample or a temporary CSV/XLSX test upload. Do not upload real employee information or other sensitive data to the public demo. It has smaller file limits than a signed-in project, does not create or change an account or project, and cannot publish a roster. Temporary files expire after 20 minutes and are removed on a later visit or by scheduled cleanup; see the Privacy Policy for data handling.
08Publication and worker access
Only the reviewed and selected worksheet/date-window entries are published in the new version; earlier versions may remain in administrator history. The worker search page is accessible via a company/project link and does not require an individual worker login. Anyone with that link may search for a name and view a matching published roster. You must inform affected workers, share links appropriately, and avoid uploading or publishing information unsuitable for this access model. The service is a publication tool, not a substitute for your authoritative scheduling and safety procedures.
09Mobile roster viewers
The Android and iOS worker viewers, when available, provide another way to access the current published project roster; the Android store link is pending and the iOS app is still in development. They do not import or publish rosters, verify a worker’s identity or replace the signed-in administrator app. The project link or codes and name search remain shareable-access mechanisms, so safeguard them. An internet connection is needed to retrieve the current version; a previously loaded screen may not be current. There is no separate RosterField mobile-app charge for subscribed projects when released, but an active project subscription is still required. Store availability and features may change before release.
10Your content and permissions
Your organisation retains its rights in the data it supplies. You give us permission to store, process, display and transmit that data as needed to deliver the service. You must have the rights and required notices or consents to upload and distribute personal information, and must correct mistakes in source files and published data promptly. Refer to the Privacy Policy for handling details and deletion requests.
11Subscription price and tax
The advertised plan is AUD $99 plus applicable GST per active project per month, subject to the price shown in your actual checkout and billing account. Taxes are calculated at checkout where applicable. Subscriptions renew automatically each month unless cancelled. Your invoice and Stripe checkout show the final charges and billing dates; do not rely on a fixed calendar day for every month.
12Trial and first charge
Where offered, a seven-day trial starts when you complete Stripe subscription checkout, not when you first create an account. Checkout requires a payment method. If you do not cancel before the trial ends, Stripe may charge the payment method for the first paid period. The precise trial end and payment schedule are shown in checkout and your billing account; a trial is not guaranteed for every future subscription.
13Project quantity changes
Adding or reactivating a billable project after checkout adjusts the Stripe subscription quantity. Stripe creates prorations for quantity changes; those amounts may appear on a later invoice rather than being charged immediately. Archiving a project can reduce future billable quantity. Review the billing page and Stripe invoices for the effective amount and timing.
14Cancellation, overdue payments and refunds
You can request cancellation through the app billing section or contact us; a standard cancellation is scheduled for the end of the current subscription period. If payment fails, access may be restricted after the applicable grace period. We generally do not provide voluntary refunds for a partially used period, but this does not affect statutory rights, including any right to a refund or other remedy under the Australian Consumer Law. Contact info@rosterfield.com.au about billing disputes or a refund request.
15Acceptable use
Do not use the service unlawfully, upload data without authority, access another organisation’s information without permission, interfere with security or availability, abuse worker search, or redistribute roster information in breach of privacy obligations. We may restrict access in response to misuse, security risks or non-payment, subject to applicable law and your rights.
16Service limits and liability
We aim to keep the service available but cannot guarantee uninterrupted access or error-free extraction. Maintain a copy of your source workbooks and an independent process for communicating critical shift or safety changes. To the extent permitted by law, we are not responsible for decisions made solely on an unchecked roster. Nothing here excludes, restricts or modifies non-excludable consumer guarantees or remedies under the Australian Consumer Law.
17Changes, contact and governing law
We may update the service and these terms; material changes affecting subscribers should be communicated through the app or email. Contact info@rosterfield.com.au for questions or to request the current operator’s legal business details. These terms are governed by Australian law, subject to any mandatory laws that apply to you.
