A calmer way to publish your Excel roster

A focused workflow for project teams that already plan in spreadsheets but need a reliable, reviewable version to share.

Resolve identity, dates, status and formula warnings before release.

The review step, made visible

See what needs attention. Go straight to the fix.

Review actions open the relevant correction section. Unfamiliar daily labels keep their source text unless you replace them; confirm what they mean rather than losing them in an unmapped cell.

01

01 / Prepare

Import CSV or XLSX without re-planning

Upload a roster to its project, choose a worksheet where needed, and review horizontal matrices, transposed matrices or shift lists. Select the intended date window, at most 140 inclusive days, rather than publishing every source date by accident.

02

01 / Prepare

Map the fields that matter

Review where the employment number, person’s name, date axis and shift cells appear. Adjust the mapping for layouts that do not use a standard first row and first column.

03

02 / Review

Resolve identity conflicts deliberately

Repeated employment numbers display competing source records for an explicit choice. Matrix layouts can use source-position identifiers when numbers are missing; shift lists require employee identifiers. Personnel belong to each upload and are not silently merged across files.

04

02 / Review

Preserve custom daily labels

Unfamiliar statuses are prefilled with their cleaned source text and require confirmation. Blank mappings retain source text; known aliases still use canonical codes. Time-only or overlong values block release rather than becoming invented daily assignments or truncated labels.

05

02 / Review

Follow actions and inspect a bounded sample

Click a flagged action to open its correction panel. Section help explains what to check, and optional tools stay grouped out of the way. Inspect the first 100 normalized entries in 10-row pages, alongside totals and date boundaries. Refresh the preview after every edit before Publish can unlock.

06

02 / Review

Correct cells without rewriting the upload

Up to 100 literal source-cell corrections can be applied to the review draft without editing the uploaded file. A blank source-cell replacement intentionally clears a value. Saved formula results are read, not recalculated; inspect formula warnings and fix the workbook when necessary.

07

03 / Publish

Release a current project roster

A reviewed publication replaces the previous current version for that project. Previous uploads remain accessible to administrators in roster history.

08

03 / Share

Give workers a clear place to check

A project roster link and printable QR code lead to the published worker view. People with the link can search by name without signing in; only publish data suitable for that access model.

Worker roster access on Android and iPhone

A dedicated mobile viewer is being prepared to open the current project roster by QR code or existing company and project codes. The Android store link is pending and the iPhone version is still in development. It is for roster viewing, not administrator uploads or publishing, and has no separate app fee for subscribed projects when released.

10

Manage

Keep projects and access organised

Company, project and team controls keep administrator work in the relevant project. Project pages provide upload guidelines, a history view and roster analytics.

Boundary

Know what RosterField does not do

It does not calculate payroll, determine safe staffing or schedule shifts for you. A review helps you spot issues; administrators remain responsible for checking the roster before sharing it.

Roster access on a phone

Your published roster, on Android and iPhone.

The mobile viewer is designed for workers to find their own current published roster from a project QR code or existing company and project codes. Planning, importing and publishing still happen in the signed-in web app.

Android · Store link pending

RosterField for Android

Scan a project QR code or enter your existing project codes, then search your name to check the latest published roster.

iPhone · In development

RosterField for iOS

The iPhone viewer is being built for the same project roster access. There is no App Store download yet.

App Store link coming later

No separate mobile-app fee for subscribed projects when available. An active project and internet connection are needed to retrieve the current roster.

Useful answers

Features questions, answered

Does RosterField schedule shifts for us?

No. Plan shifts in the system or workbook your organisation already uses. RosterField reviews and publishes a roster supplied as CSV or XLSX.

Can the app read both orientations of a roster?

It supports people in rows with dates across columns, people in columns with dates down rows, and shift lists with employee identifiers. Confirm the detected layout, fields and date interpretation.

Does the sample show the complete publication?

The collapsible table contains up to the first 100 entries in 10-row pages. Compare the total entry count, personnel, exclusions and date window as well; the sample is not the complete large roster.

Are duplicates silently merged?

No. The review asks you to choose one record for a repeated employment number. It does not guess which worker record is correct.

Can a worker view their roster without an account?

A person with the project worker link or QR code can search the published roster by name without signing in. This is not identity verification; only publish information suitable for that access model.

Is there an Android or iPhone app?

A worker-facing Android viewer has a store link pending, and an iPhone version is in development. Neither has a live store link on this site yet. They are for viewing a published roster, not administering or publishing it.

What can I see after publishing an update?

The current project publication is shown to workers while earlier versions remain in administrator roster history. A worker may still have an older offline copy on their device.
